Prioritizing activities and programs to increase paperless adoption and save money

Situation

A large company was spending millions of dollars on printing and postage for required customer mailings (e.g. regulatory and legal documents, etc.). Given the huge cost-savings associated with moving from print to paperless delivery, leadership mandated change. As a result, there were many scattered initiatives working toward this goal, but without an enterprise-wide, comprehensive plan for strategy and execution.

Approach

Enterprise-wide planning requires leveraging stakeholder engagement and working toward a common vision. Orchid Strategy Group was engaged to build a unified Roadmap to increase paperless adoption amongst our client’s customer base.  Our approach was to work with key internal stakeholders to determine in-flight initiatives, as well as assess new activities and programs. Together with an engaged cross-functional team, we prioritized the full list of ideas based on customer experience, expected adoption rates, resources required, cost, ability to leverage technical development, and time to execute. Based on this collaboration, Orchid Strategy Group created a multi-year, cross-functional Roadmap with company-wide support.

Solution

The Roadmap specified the prioritization and timing of the paperless activities and programs. Some of the in-flight initiatives gained momentum, while others were put on hold or stopped altogether. For the newly identified paperless adoption initiatives, Orchid Strategy Group managed the execution. We worked across the organization to provide strategic, financial, legal, resource, and technical assessments. Orchid Strategy Group quickly implemented the new projects, and with the other prioritized corporate initiatives, achieved results of maximizing paperless adoption rates and cost-savings.

Results

Orchid Strategy Group drove savings of $3.5 million annually by working collaboratively to unify key projects under an enterprise-wide work plan.
